The Committee
The Film Group is run on a day to day basis by its Committee. The Committee currently consists of 20 members and is elected each year at the Annual General Meeting (usually at the end of March). The AGM is advertised at the theatre and on our website and any member of the Group is eligible to run for the Committee at this meeting.
The Committee meets approximately once a month to make decisions on how to run the Group. Committee members are required to attend each of these meetings but apologies can be given if you can't make it. If there are vacancies on the Committee because people leave or a full committee wasn't elected at the AGM then people can also join the Committee at these meetings.
In addition to attending meetings, Committee members are also the people who work as the Duty Manager at screenings - you will usually find them sitting behind the computer selling memberships.
As well as the basic duties of Committee members there are also Executive positions - President, Vice President, Secretary and Treasurer - that are filled at the AGM. There are also committee officer positions that are filled at the first committee meeting so you can run for those if you are interested at the first committee meeting.

Description of Executive and Officer Roles
President
This position is the most senior in the Group. The President oversees all operations of the Group, provides support, guidance and direction for other members, represents the Group in high level discussions with outside bodies, calls meetings, and intervenes in any matter that requires his or her attention. The President is also the chairperson of all general meetings and Committee meetings (unless absent or voluntarily relinquishes the chair). The President has no clear set of defined tasks, but takes on a senior administrative, supervisory, management and leadership role.
Vice President
As the title suggests, this position is the second most senior in the Group. The Vice President both assists the President in his or her duties, as well as overseeing other specific initiatives.
Secretary
The Secretary is the Group's administrator. He or she retains custody of the Group's official records, documents, minutes of meetings, the certificate of incorporation, the common seal, etc. The Secretary has the responsibility for collecting, and distributing all mail received by the Group, and taking minutes for all committee, executive and general meetings.
Treasurer
The Treasurer is the officer that administers the Group's funds, financial accounts and records. He or she pays all bills, processes and pays monetary claims and employee pays, arranges the cash floats used for membership sales, and banks the Group's income. The Group, being an incorporated association, is subject to an annual audit, therefore the role of the Treasurer is very important in ensuring that our financial records are correct and well maintained.
Membership Officer
The Membership Officer administers the membership tickets, trains other Committee members on how to manage a screening, and audits the Manager's Day Sheets from each screening. The Membership Officer is also responsible for the sorting and safe storage of all of our membership forms.
Booking Officers
We have a Chief Booking Officer and a number of Booking Officers who are responsible for checking availability of the films we wish to screen and booking in the films and dates that form our program each Semester. More specifically, the Booking Officers each have film distributors that they negotiate with in order to make out bookings. The Chief Booking Officer has responsibility for coordinating the booking process and ensuring that all films are booked corrected. The Chief Booking Officer also performs the vital role during the year of making sure that the freight is checked on a regular basis and that the films actually arrive!
Publicity Officers
We have recently created a Publicity Team for the group, which is made up of a chief Publicity Officer and a number of Publicity Officers. The Publicity Team is responsible for the promotion of the Group both on and off campus. One of the most important jobs of the Publicity Team is to identify and follow through on a range of opportunities for the Group to advertise itself to the Canberra community.
Personnel Officer
The Personnel Officer is responsible for drawing up and maintaining the rosters of:
- Committee members to manage at screenings
- Door people to assist the manager at screenings
Managers are always Committee members, but we rely on volunteer members to scan members in as they come through the door. The Personnel Officer is most busy at the beginning of each semester as both managers and door person are rostered, where possible, according to their stated preferences. After the initial rostering, the Personnel Officer is then responsible for monitoring the roster and advising helpers if there are changes to the roster.
Freight Officers
The Freight Officers ensure that the film arrives in time for its screening. The job entails coming to the theatre at least a day before each screening (this is usually rostered to make it easier to remember!) in order to make sure that our films have been delivered, and then contacting the Chief Booking Officer to report that all is well, or not well if films haven't arrived. If films are available from the National Film and Sound Archive, across the road, the Freight Officer may need to pick up the film and return it in person.
Archives Officer
The Archives Officer is the custodian of historical information about the Group, including attendance and membership figures, past programme information, and all other documents not kept by other members of the Committee.
Website Officer
The Website Officer is responsible for updating our website, including changes to the design where necessary. They are also responsible for adding new features to the ANUFG's website. If you have any suggestions for features you would like to see on the website please email the .
Communications Officer
Our Communications Officer is, in most cases, the first point of contact for the Group. They are the recipient of all our email requests and telephone calls and are responsible for either replying directly to these requests or passing on the request to the relevant person on the Committee. They are also responsible for adding news to our website.
Becoming a Door Person
If you are interested in helping out with the group but you don't want to join the Committee, there are a number of other ways you can offer your help. One of the most important for our day to day running is to be a door person. At every screening we have one person on the door to operate the scanner and check in members and their guests. No specific skills or qualifications required other than a friendly smile and the ability to turn up when rostered! And the best bit is that after doing our set number of sessions, door persons are eligible to receive a refund of their membership for that Semester or a complementary membership for the following Semester.
We mostly look for door people at the start of each Semester so we can roster people for the rest of the semester. If you are interested in becoming a door person, or would like more information, have a chat to the Duty Manager at any screening or email the Personnel Officer directly.
How Can I Become a Projectionist?
The Film Group employs a small number of people as projectionists to operate the equipment during films. Whenever a vacancy occurs it is usually advertised at the theatre, and on the website. We are not only looking for fully trained projectionists, as we also seek to train up projectionists from scratch. That said, the ability to pick up technical skills quickly is an advantage. All our projectionists are paid according to our Certified Agreement which is based on the Entertainment and Broadcasting Award - 1997.

How can I Contribute to the Poster or Booklet?
The poster and booklet published each semester are written and designed by volunteers. The Film Group tries to make these publications as professional as possible, which requires a great deal of time and effort.
If you have any skills in review writing, editing, desktop publishing, graphic design, art, or are just interested in helping, please get in touch with us. You can either email , or leave your contact details with the manager at any screening.
In particular, we are always in need of more people to help write reviews for the booklets. There is usually a general call for review writers prior to the start of each semester, so check the website for details, or join our mailing list, and simply reply to our call for helpers. Reviews are fun to do and having our members write our reviews makes our booklets that much better!
